Venue Coordination

• Managed all on-site operations across conference rooms, breakout spaces and hotel dining areas.
• Coordinated complex floorplans, AV, internet, F&B logistics, and stage management over three days and for 6 concurrent breakout sessions.
• Maintained continuous contact with hotel heads of department to ensure flawless execution.
• Facilitated room requests at A.Roma hotel based on delegate preferences and supported onsite private transfers.

Logistics & Project Planning

• Delivered detailed project management, including timeline tracking, and weekly team briefings.
• Maintained multiple planning documents such as rooming lists, dietary trackers, schedules, function sheets, and session checklists.
• Secured  an overflow hotel within a short distance of conference hotel to manage increased delegate numbers.

Location Management

• Managed all Rome-based logistics including airport transfers, off-site transfers and external venues with assistance from our local partners at VenuesItaly.
• Arranged VIP transfers at Rome Fiumicino Airport for external guest speakers.

Budget Management

• Budget oversight covering all event services: accommodation, AV, catering, room hire, event materials, transportation, staffing, and offsite dinner.
• Delivered high-impact results while staying within financial targets.

Offsite Gala Dinner

• Sourced the fabulous Villa Miani, located on top Monte Mario, guests experienced a panoramic view of Rome combined with a luxury dining experience.
• Coordinated with onsite venue team for seamless dinner service uplifting overall guest experience.
• Handled all departure and return transfers to and from Villa Miani, ensuring the smooth transfer of guests from venue to venue.

Registration Management

• Designed and managed the registration portal, capturing information for over 380 attendees, across professional and client categories.
• Integrated session preference selection for all attendees to help select key conference topics and assist with agenda planning.
• Demand exceeded capacity, necessitating careful waitlist oversight and prioritisation of key participants.
• Onsite registration desk management facilitating the distribution of badges and delegate trouble shooting.

EY Event Inbox Management

• Served as the main point of contact for all delegate and internal enquiries.
• Managed high volumes of last-minute travel, dietary, and logistical requests with consistent, professional communication.
• Enabled real time, efficient accommodation adjustments for all delegates, ensuring room block allocation was maintained.

Event App Services

• The EY event app functioned as a central access hub for all event information, including session schedules, floorplans, speaker bios, and live updates.
• Enabling of real-time communication with attendees, push notifications for last-minute changes, and seamless access to key content.
• The app significantly contributed to the smooth flow of the event and conformed with modern corporate sustainability expectations with a reduced volume in printing.

Reporting:

• Compiled a detailed post-event report including budget reconciliation.
• We delivered post event survey statistics. Analytics also allow us to track engagement metrics such as watch time, last login, and page visits—offering valuable insight into delegate behaviour and tying directly into the attendance tracker to support overall reporting.
