6 Tips to Improve Delegate Registration Experience

The delegate experience doesn’t start at the venue, it starts with their registration experience. Making sure the delegate registration process is as simple and efficient as possible is the first step to providing an excellent event experience. Here are 6 ways you can improve your delegate registration experience:

Use a Registration Site

Using a custom-built, dedicated online registration system will streamline the overall delegate registration process. All data is secure, in one place and GDPR compliant. It’s more convenient for you and the attendee. User-Friendly design with multi-lingual web forms will improve the delegate experience.

Test, Test, Test

Before going live, TEST! Do it yourself, send a link to your colleagues to test it and try to identify any problems before setting the site live and inviting delegates to register. There is nothing more frustrating than errors so ensure everything works as it should and your site can handle large volumes of traffic.

Keep it Short and Simple

The registration form should be concise and easy to follow.  Think, how much information do we really need and what can be left out? The more questions you include, the longer it takes to complete the form, the more likely your delegates won’t fill it out. If your form isn’t designed to get all of the information you need, you’ll have to follow up with each delegate and this can lead to frustration.

Pre-Event Communications

Send your delegates pre-event communications by email before they attend the event. If you’ve got an event app make sure your delegates know how to download it and access all of the required information before the event.

Support

Having a dedicated support team that can be contacted over the phone and by email during the registration process is extremely valuable. If your delegates come across a technical difficulty or need to ask further questions about the event itself – there is a dedicated team who can help them.

The Personal Touch

Technology is increasingly removing people from the reg desk – allowing delegates to collect badges and lanyards from machines. This removes the first point of contact that your delegates have with your team on the ground. Having a friendly, helpful member of staff there to give out badges and information to delegates will give them a far better experience than a machine ever could.
