Bucharest as an Emerging Conference Destination

If you’re looking to source a venue, Bucharest Romania is fast emerging as a desirable conference destination. With a noticeable increase in RFPs for the city over recent months, we knew it was time to experience it first-hand and explore what it can truly offer our clients.

Well connected and home to a strong portfolio of international hotel brands, Bucharest is becoming an increasingly attractive option for conferences and corporate events in Eastern Europe.

Like all major capital cities, Bucharest is home to several well-known international hotel brands, giving organisers reassurance through globally recognised standards.Bucharest conferences and corporate events

Earlier this year, we successfully delivered an event at the JW Marriott Bucharest Grand Hotel, a property that combines classic elegance with extensive meeting facilities.

We are now looking forward to hosting our next client conference at the Radisson Blu Hotel Bucharest. Centrally located and well connected, it offers comfortable accommodation, modern conference spaces, and the convenience of being within walking distance of many key attractions and dining venues.

For multi-day conferences, having accommodation and meeting space under one roof simplifies logistics and enhances the overall delegate experience.

Offsite Event Venues in Bucharest

A key focus of our visit was reviewing potential off-site dinner locations to enhance the delegate experience. We explored a range of venues and shortlisted several standout options:

Aria TNB was a highlight — a rooftop venue above the National Theatre offering panoramic city views and flexible space for receptions or dinners.

Nuba White stood out as a vibrant gala dinner option, combining stylish surroundings with an energetic atmosphere ideal for networking.

Studio Atrium provided a more intimate setting, perfect for smaller team dinners or informal gatherings.

Fratelli Social, with its open-air layout, would be an excellent choice for summer networking receptions or product launches.

Incorporating distinctive offsite venues like these adds variety and personality to conference programmes in Bucharest.

Hybrid Events: The What, Why and How

What is a Hybrid Event?

A hybrid event is a conference, sales kick-off or meeting that includes a live and a virtual component. The live event takes place at hotels, conference venues and is shared virtually to delegates who participate online.

Why hold a hybrid event?

As restrictions begin to lift and mass gatherings are allowed again, regional teams can hold live events and connect with global teams virtually. Hybrid events allow delegates that can not travel or do not feel safe to travel to join virtually whilst allowing those who can attend to enjoy the live event experience. The hybrid event model will be a solution for many meeting planners who will be dealing with new venue capacity limits.

Key Considerations when planning a hybrid event:

Logistics

Many planners are concerned that a Hybrid event is double the workload and expense. There is definitely some validity in those concerns however technology and experience levels are increasing all the time and there are now many experts available to guide you through the intricacies, ensuring best-practise, streamlined process and cost-effective planning. We at VenuesWorld, with our virtual solution Octa have developed some blueprints for successful Hybrid events. Let us know if we can help you.

Registration

The registration experience needs to be seamless for both virtual and live delegates. Using a branded registration site and included detailed information about your event for both virtual and live delegates. All delegates should have access to the virtual platform to ensure networking between the two.

Support

Ensure that there is a skilled support team available at all times to assist both virtual and live delegates with the virtual platform.

Why you Need an Event Management Company to Run your Hybrid Event:

Increased Regulations

New social distancing measures, group number restrictions and overall delegate safety will require a more detailed, professional risk assessment plan. If you are planning multiple live events amongst regional teams and connecting them virtually, you will need to know local restriction information around the world. Check out our COVID-19 restrictions update page for up to date information from our local experts.

Managing Onsite

New regulations around mass gatherings will require additional crowd control and communication measures. You can read our COVID-19 recommended measures here.

Managing the online

50% corporate event planners are planning a hybrid event in 2022 but almost 20% admit that lack of experience is a barrier to choosing the hybrid format. Using an experienced event management team to merge the live and virtual events will make the planning process much simpler and ensure your hybrid event runs seamlessly.

Professional Finish

Streaming your event to a virtual audience requires a professional finish. Our experienced production team will ensure the speaker has the correct camera angles, sound and graphics.

Virtual events will never have the same impact as an in-person event but the hybrid model offers a comprehensive solution to the current global situation.

How to Get the Most From your Virtual Event Analytics

Virtual events produce an abundance of useful data. Event planners can now measure event performance with up-to-the-minute data on visitors, views, questions, downloads, posts, and shares. Because your event is entirely online, it is easy to capture key data and create custom reports. Here are five ways you can get the most from your virtual event analytics:

What Data do you Want to Collect?

At the early planning stages, you should establish what data will be valuable for you to have during and after your live event and how you will collect it. You can even start collecting data about your delegates at the registration point. You can ask questions such as ‘What sessions are you most interested in?’ This data can help you improve your event schedule.

Content Engagement

Access to data such as the number of stream views, the length of stream views, and the engagement rates of live polls and Q&A sessions will allow you to evaluate how your delegates engaged with your content. With this information, you can find out which sessions and speakers were most popular, track engagement by analysing drop off points and time spent viewing. You can use this data to improve your post-event communications by providing delegates with the recorded versions of the most popular keynote speakers. Follow-ups can also be made easier by tracking who downloaded documents, who watched what sessions, and who engaged with games and challenges.

Data for your Stakeholders

At live exhibitions, it can be difficult to track how many people saw and interacted with your stand. Virtual events allow you to track which speaker profiles were most viewed, which exhibitions were most visited, and how many delegates were exposed to sponsor branding. This information is invaluable to you as a planner. You can use to prove to potential sponsors that you have a track record of large audiences at your events. This data can also be used to find out which exhibitors stands were most popular with your delegates which can help you to decide future exhibitors.

The Attendee Journey

Understanding how your attendees navigate through your virtual event is pivotal to improving your next event. What percentage of your attendees contacted the support team and help desk? How often did they log in and out throughout the event? Did they just attend the keynote speaker or did they attend all sessions? A great event planner will use this data to improve the event by increasing support or adding in more breakout sessions.

Post Event Data

Once the event is over, leave your content online. A good virtual event provider will allow you to do so for up to a year. It’s a great way for your content to have more longevity and an opportunity for delegates to spark conversions about your company or brand long after the virtual event date. You can review this data to find out which sessions were the most valuable.

When virtual event data is generated, it gives you an increased understanding of best practices, what is working and what is not. We help our clients use the new opportunity of virtual events to maximise the amount of data they get so they can make data-driven decisions for their next event.

The Benefits of a Professional MC/Host at Your Virtual Event

Have you recently been tasked with hosting your first virtual event? Not sure whether or not you need a professional MC or host? A charismatic and engaging MC or host is an essential way to stop your delegates feeling lost in the crowd and prevent them from losing interest in your event. An MC is defined by MacMillian Dictionary as ‘someone whose job is to introduce speakers and performers at a public event’ but a professional host will go way beyond that on.

Better Meeting Design

Experienced moderators know from experience what does work and what doesn’t when it comes to effective meetings. A professional virtual moderator can help you sharpen your programme and choose the most effective format for every step of the way. Events can be unpredictable when “on stage” so you need a host who will be able to adapt to any situation. This experience is invaluable when it comes to creating the most effective experience whether that be onsite, online or a hybrid version of your event.

Empower your Leaders to do What They do Best

The skills of a professional moderator are specialist. Putting pressure on your leaders or academics to perform this role on top of their important and main roles within the meeting could lead to a less effective event. A professional moderator will be a part of your team. They will be the link between virtual attendees and the content/studio and be the thread between them all, with their core focus of facilitating the best event for your objectives.

Facilitate True Engagement

A professional moderator will help you find a balance between providing information to your attendees, interaction to ensure that this information is disseminated and inspiration to ensure that the emotional experience continues past the 2 hours or 2 days of the meeting. A professional moderator will; make the difference, effectively choosing the right tone, pace and style during the entire event. Your event will move from good to great!

Maximum ROI

Once you’ve defined the objective of the meeting, you’ll want results. You’ll need someone who is experienced with technical event management, hybrid and virtual attendee engagement, online speaker liaison and presentation training as well as someone who understands what you want to achieve during this event. This is the daily role of a professional virtual emcee and moderator.

8 Facts About Virtual Events That you Need to Know

Planning and Preparation

Although you don’t need to worry about logistics, you still need a minimum of four to six weeks to plan a professional virtual event. Time needs to be allowed for creating and perfecting the content and schedule of the virtual event and there should be ample time for rehearsals and testing.

Virtual Events are Flexible

With virtual events taking place online, you have a lot of flexibility in how you organise your event. You can choose to make sessions interactive, pre-recorded and include different language options. A wider pool of speakers may also be available because there is no requirement to travel.

You can Scale the Event as Required

Without the need to travel, delegates can simply log in from all over the world to attend your virtual event. If you have employees or clients around the world this is a huge benefit for global companies. If more attendees register than you expected it’s not a problem! You no longer have to worry about venue capacities, food and beverage, accommodation or transfers. You can scale your virtual event to fit every delegate who wishes to attend.

Networking is Possible… and Sometimes Better

For the majority of delegates, the opportunity to network is a high motivator for attending events. At live events, delegates can mingle at coffee and lunch breaks, in ques or during a welcome reception and while virtual events eliminate the face-to-face interactions, thoughtful planning can go a long way to ensure efficient networking at virtual events. Virtual events also make it easier to keep track of who you’ve spoken to and you can connect with them on LinkedIn more easily than you would at a live event. To network successfully virtually, you need a platform with simple to use networking features. Keeping your delegates engaged is a task in itself, so including team building activities and ice breakers is essential. An event management company will bring their creativity and expertise in this area to your virtual event.

Team-Building Can Be Even More Creative

Audience engagement is the largest challenge when it comes to virtual events. The next biggest challenge is interaction. It can be difficult to plan unique team-building activities for seasoned conference-goers that engage and encourage interaction. With virtual events being so new, you can almost guarantee they haven’t tried all the virtual team building options.

You Need Good Quality Connection and Equipment

If you want your virtual event to run seamlessly, you need to have good quality audio and visual equipment. Speakers need professional standard microphones and a strong, stable internet connection to ensure they can be seen and heard by delegates at all times. Their personal laptop camera and microphone may not suffice.

You Need to Schedule Breaks

Virtual event fatigue is real.  In addition to immersive video experiences, engaging speakers and amazing content, you need to schedule breaks. Your delegates will need bathroom breaks, coffee breaks and lunch breaks – just as they would at a live event.

Data & Insights

Virtual events can provide you with much better data than live events. After your virtual event you can track:

  • The number of stream views
  • The length of stream views
  • Most popular exhibitor stands
  • Most visited speaker profiles
  • Engagement rates of live polls and Q&A sessions.

This data is invaluable to many departments within your business to discover your audience’s interests and for developing your next virtual event strategy.

If you’ve been tasked with planning a virtual event for the first time, don’t panic! With your company’s goals in mind and the right virtual events provider, achieving exceptional results is within arms reach. You can learn more about choosing a virtual event supplier here.
