How to Host a Successful Virtual Exhibition

Virtual meetings and events are increasingly becoming an essential part of business. Event planners are now looking for innovative ways to bring more live event features to the virtual world. Virtual exhibitions are an engaging way to provide content and information to your delegates. Delegates can also network and interact with exhibitors via live chat or by booking a virtual appointment. Whether you are just hosting a virtual exhibition or you’re adding one on to your virtual event, consider these four tips:

Outline your Goals

Much like a live event, you should outline the goals of your virtual exhibition. Is it to generate new business leads? Showcase a new product to new or existing clients? Or do you want a great way to engage your delegates while conveying key messages? Either way, you should know exactly what you want to achieve.

Make it Easy for Delegates to Access Information

It needs to be easy for your attendees to access your content.  Engagement points should be well defined and clearly labelled. Content that can be accessed includes:

  • Zoom and scan – enlarging content on the stand, delegates can examine the content in detail.
  • Website or other external content – delegates can visit linked content
  • Downloads – PDFs or other files can be downloaded, reviewed and saved by attendees.
  • Video – a pop-out video player that enables the user to play the video content as required.

Interactive Floor Plans

Delegates can tour around a bespoke exhibition hall environment with individual stand locations indicated by the footprint of the stand. Branded engagement points are then added allowing the visitor to click on the branded logo to take them to the individual exhibitor’s page. Interactive floor plans make it easy for attendees to view all the stands and see where they would like to spend their time.

Impress your Attendees with Stand Design

At the beginning of the event planning process, decide what type of stand will deliver the best results for your audience, budget and timeline. You can choose from 2D, 2.5D or 3D each allowing for branded, bespoke exhibition stands.

Benefits of a Virtual Exhibition

Analytics

Measure the success of your virtual exhibition with detailed reports.  This enables you to monitor, both real-time and legacy data, to understand how your attendees are interacting with the stands. Outputs include:

  • User journey – we can collate what users experienced and when they left the stand
  • Active and legacy user numbers
  • What content was accessed
  • Locations visited (3D stands)
  • Location of user

Cost

Virtual exhibitions are more budget-friendly than a traditional exhibition as a way of getting key messages across to your target audience. Without the cost of logistics, materials and rental fees you can create a more eco-friendly online version.

Our innovative exhibitions platform enables organisers to provide content and information to delegates in an engaging way.

How to Keep your Virtual Event Secure

In the rush to pivot to digital, it is essential to do a security risk assessment for your virtual event. Keeping your attendees’ information private and your event content safe is a top priority. Hosting a secure virtual event is crucial for the reputation of your brand or organisation, so keeping security at the forefront of planning is essential. Here are four ways you can keep your virtual event secure:

Provide Delegates with Virtual Event Security Tips

Creating a brief document for your delegates that outlines the Dos and Donts of attending a virtual event. This can include not sharing links online publicly, not sharing their login details with anyone, creating strong passwords and not using public WiFi networks. Send out this information by email prior to the event to remind delegates to be aware of virtual security best practices.

Unwelcome Attendees

Control who can access your event, just like you would with a live event. It is important to know how many people should be at your virtual event, who they are. Using a dedicated registration system that is linked with your virtual platform will ensure that only delegates who are registered can access the platform. Choose a virtual platform that is security protected via a number of login layers. Our platform is SSL 3 security protected in the form of a three-step login process. Attendees have to be login with their email that has been preloaded in the back end, this can be set in the back end so they can’t just login with any email, creation of own personal password which attendees would set and verify themselves and then an event-specific passcode which is only sent out to invited attendees. This will minimise the risk of getting ‘Zoombombed’ or hacked.  You can also avoid unwelcome guests to your virtual events by using waiting rooms.

Turn Off Screen Sharing Options

Limiting sharing capabilities to trusted speakers/moderators only. Even if there are no unwelcome attendees, you could still have delegates accidentally sharing their screen. By turning off the option, you avoid any uncomfortable situations where someone shares a screen with unrelated content.

Continue to Monitor Your Event

Throughout the live event, the meeting host or event lead should continue to check who is logged into the meeting, to ensure that if there was a breach it can be dealt with as quickly as possible.

Although security breaches are rare, it is important to be vigilant. Know what security questions to ask your virtual event platform provider and plan with virtual security in mind. Using an experienced virtual event management company to plan and execute your event will help you navigate through all of the security concerns you may have and ensure your virtual event runs seamlessly.

Virtual Alternatives to Live Event Features

As most corporate events become digital, it is important not to forget about the aspects of live events that our delegates loved. The success of a virtual event comes down to the level of delegate engagement. The best virtual conferences are as close as possible to live event experiences so don’t forget to include some virtual alternatives to live event features at your next virtual meeting, conference, or event.

Gala Dinner

Gala Dinners are usually held to celebrate, reward and engage conference and event delegates. Mass gathering restrictions around the world have meant, for now, large Gala Dinners can’t take place. Our event operations team have created a unique gala dinner experience for delegates where the ingredients are shared 24 hours in advance and delegates join a live stream and cook together. This is a great way to allow your delegates to have some fun during your virtual conference as well as providing them with a meal for the evening.

One-to-One Meetings

At live events, delegates get the opportunity to pencil in time with other attendees. Virtual events should always facilitate one-to-one meeting so delegates can meet with particular speakers or other colleagues. Our virtual meetings platform features a  ‘My Meetings’ tab where 1-1 meetings or smaller meetings can be booked in attendees diaries. When attendees log into the platform, they can see who they’ve got a 1-1 meeting with and click-through into a private meeting room.

Team Building

Every great corporate event should have an amazing team activity scheduled. Online team building needs to be fun, engaging and creative to strengthen relationships amongst colleagues, especially while we continue to work remotely. Learn more about our virtual team-building options here.

Exhibitors

If you had exhibitors at your live event you should consider bringing them to your virtual event. Virtual exhibitions are an interactive way of giving important information to your delegates. Attendees can access content by clicking on well-defined engagement points where they can:

  • Zoom and scan – enlarging content on the stand, the user can examine the content in detail
  • Website or other external content – allows users to visit linked content
  • Downloads – PDFs or other files can be downloaded
  • Chat room function – enables users to connect through to the stand’s host and interact
  • Video – a pop-out video player that enables the user to play the video content as required

Event Swag

A lot of thought goes into choosing swag for events. You need to consider your audience, budget and timeline. You can either keep your event swag completely digital with gift cards and food delivery vouchers or you can go traditional with event swag packages sent to your delegates address. Branded swag that conveys the essence of your brand will give delegates that ‘live event feeling’. You can send branded swag as standard or as prizes for engagement.

How to Combat Virtual Event Fatigue?

Virtual meetings have become an everyday occurrence in venuesworld.com HQ since the middle of March. Everything from weekly report meetings, brainstorms, and even watercooler chats have to happen via online conferences. That is a lot of time to spend looking at a screen, dealing with connectivity troubles, and communicating virtually.

Have a look at your last week’s schedule. What proportion of your working week is taken up with online meetings? How do you feel when you’ve exited your last meeting of the day? My guess is that you feel tired, distracted, unable to focus and not looking forward to your next online meeting.

This feeling is also true for your virtual event delegates. They are probably attending the same number of internal or client-facing virtual meetings and experiencing the same fatigue you are. So, what can you do to make your virtual event more enticing and less energy-draining than your average Zoom meeting?

Schedule More Breaks

According to research conducted in 2017, our average attention span is 14 minutes. So bear that in mind when scheduling speakers, breaks, workshops, and other activities. An ideal hourly schedule would look like this

a. Host: 5 mins

b. Speaker 1: 15 minutes

c. Speaker interaction/Q&A 5 minutes

d.Host: 3 minutes

e. Speaker 2: 15 minutes

f. Speaker interaction/Q&A 5 minutes

g. Break: 12 minutes

During the break, encourage delegates to stretch their legs or grab a coffee.

Include Engagement Activities

Throughout your event, you should be including some interactive features such as polls, Q&A’s, or quizzes. This not only keeps your delegates awake and engaged but also provides valuable feedback for the speakers.

If your virtual event is longer than a couple of hours, it is advisable to include some sort of engagement activity. This could be a teambuilding activity, more specific workshop, or a breakout room for a 20-minute yoga/guided meditation session. You need to include something that is going to give delegates a break from watching a screen and a reason to engage with your event.

After a brief engagement activity, they will be ready and able to focus on what your next speakers have to say.

Tell Delegates What To Expect

Sending out an email in advance of your event with details on all the engagement activities you are hosting during your event will help to get delegates excited about what is to come. Acknowledge that this is not your average virtual event. Tell them that you are purposely scheduling shorter speaking slots and including more breaks and activities to help make it a fantastic and enjoyable experience.

COVID-19 Measures for Events

The event industry is one of the hardest hit by the Coronavirus crisis, but as restrictions are being lifted in some destinations, larger gatherings are now being permitted. So, how will corporate events look in a post-lock-down world? With Covid-19 still being a risk, many venues will have COVID-19 policies and procedures when we return to face-to-face meetings.

Additional Cleaning

Hotels and venues around the world are developing new cleaning protocols for the cleaning of their properties. The cleaning of shared items such as door handles, restrooms and so on, will be increased in hotels and venues with the removal of some items that were cleaned less frequently such as scatter pillows.

Communications

There will be additional information provided to delegates before attending events. Communicating key messages that remind delegates of COVID-19 prevention measures such as washing their hands regularly, wearing a mask, social distancing, and avoiding handshaking. Event organisers will also provide additional venue information prior to the event. This will include the venue layout, hand sanitisation point locations, and even what time delegates can use different common spaces to avoid overcrowding.

Food and Beverage

Some venues and hotels have already announced that mini-bars will be locked, room service will be delivered to the room door only and buffets will be a thing of the past. Lunch and tea & coffee breaks may become staggered with push notifications on event apps to notify attendees of their allocated time slot.

COVID-19 Risk Reduction Plan

Each event’s risk assessment plan will now include a COVID-19 section. The World Health Organisation has published its key planning recommendations for event organisers when organising an event. The plan will generally assess:

  1. The host country’s existing regulations on mass gatherings.
  2. Consideration for the likelihood of the event contributing to the spread of COVID-19
  3. The ability to implement actions that can reduce the spread of COVID-19 at the event.

This will include input from other relevant authorities and public health bodies. in the event management process with an event safety manager being appointed in some cases.

Face-to-face meetings are an important aspect of business and when we can meet again we will need to take precautions. More than ever, using an experienced venue sourcing and event management team can help you ensure COVID-19 measures are included in the management of your event.

Choosing A Virtual Event Provider

Virtual events have become a very popular choice for event managers as an interim solution to the travel and socialisation restrictions during the coronavirus pandemic. For many event managers, it is an entirely brand-new world and even for those who are not new to virtual events, you’re fighting for virtual time against all the millions of video calls happening every day.

So, what can you do to make sure your event is the best possible experience for your delegates and your speakers? You can choose an experienced virtual events provider to support you.

Every great virtual event needs the following

  • Reliable, easy to use platform
  • Audio-visual equipment for speakers
  • Audience engagement
  • Registration management
  • Technical support for delegates

All of the above takes time and can be difficult to master alone. Today I’d like to take you through why you should choose a virtual events solution provider to assist with your virtual events.

1: Virtual Events Platform

This is the foundation of your event. There are many different virtual event platforms out there. From Zoom to Webex, but what you will find is that some organizations don’t allow a particular platform. If your delegate list is filled with these organizations, then you won’t have a great attendance rate and your stakeholders will not be happy.

A good virtual events solution provider will include an event platform that has full cross-platform capability which means that delegates can join from whatever platform they are most comfortable with and that is allowed within their organization.

In addition to being able to join from anywhere, delegates will want the platform to be reliable. I’m sure you have experienced it when you’re attending a virtual event and the app freezes or fails to load and you know your internet connection is stable. It can be very frustrating so a reliable and robust platform is essential.

Easy to use and intuitive are another two words you should associate with your virtual events platform provider. You’ll never hear a delegate compliment you on an overly complex and hard to navigate offering.

Sample Virtual Event Schedule

2: Audio Visual Equipment for Speakers

To really make your event stand out, invest in some audio-visual equipment for your speakers. Not only will they be seen and heard better, but they will feel more professional and energised by setting up the equipment and knowing that they are being supported and not left to fend for themselves. To step it up again, you could hire a small meeting room in the speaker’s home location and set that up as a studio with green screens, lighting, and more. This may even allow the speakers to feel like they are on stage and give them room to move around which will, in turn, keep the delegates’ attention better.

A good virtual events provider will be able to assist you with not only the equipment but also the logistics of getting to the speaker and assisting with set up.

3: Audience Engagement

Audience engagement is essential at a live event and even more so during a virtual event. This is for two reasons. It is easy to get distracted when you’re sitting at a computer watching an event and no one is checking to see if you are listening. And it is easy for a speaker to lose momentum when they aren’t getting instant feedback from their audience. We’ve written a whole blog post on what to do to keep your audience engaged so you can check that out here.

A good virtual events provider will help you to incorporate and facilitate your audience engagement efforts and encourage interaction from the attendees.

4: Registration Management

Managing the registration of delegates and responding to delegate queries is a time-consuming task and can take you away from more important items such as marketing your virtual event and generating more interest and registrations.

A good virtual events provider will provide registration management and delegate support coming up to and during the event. They will communicate to the delegates at certain times prior to the event to ensure attendance and after the event to get any feedback for improvements.

5: Technical Support During the Event

It is inevitable that a small number of delegates or speakers may have some technical difficulties during an event. This could be that a particular page isn’t loading, or a video stream has frozen, or it could be that their own computer has firewalls that won’t allow viewing of the event. These are all issues that require someone very familiar with these potential technical issues to get the delegates or speakers back up and running with the event as quickly and painlessly as possible.

A good virtual events provider with ensure that technical support is on hand to deal with these queries before and during the event.

So, when you go looking for a supplier for your next virtual event make sure to look for these key services and we hope that you’ll bring venuesworld.com into the mix as we’d love to demonstrate our comprehensive virtual events solution to you.

Hosting a virtual event is easier than you think!

The events industry as we know it has faced a mass of postponements and cancellations of group gatherings over recent months. More and more of us are pivoting to virtual to host our events online. COVID-19 has no doubt played its part in putting our virtual events to the test, on what has been, an extraordinary scale. However, hosting a virtual event does not need to be daunting. Virtual meetings, conferences, and teambuilding events are easier to put together online now, than ever before.

Types of virtual event

When planning for a virtual event, you can begin by considering the different types of virtual events that you can host in 2020. There is now an array of different types of event that can be brought to life and enjoyed together online.

Virtual meetings and events can still include speakers, plenary sessions, breakouts, team building, and even a virtual coffee dock. Choose a virtual event platform that allows you to integrate with your preferred video conferencing software to enhance the overall virtual experience, while still delivering key objectives for attendees and planners.

man attending virtual event

What to consider when planning your virtual event

When planning the content that will be delivered via the virtual events platform, it is important to remember that attendee engagement and opportunity for networking are still at the forefront of delivery, just like a live event.

With advances in online event technology, there are multiple ways to keep your attendees engaged.

  • Online Chat Function – Allow and encourage your delegates to interact with one another in the chat section throughout your event.
  • Networking Rooms – Provide delegates with breakout rooms that can be used for video networking.
  • Q&A – Provide anonymous Q&A functionality for anyone that might be a bit shy in asking a question.
  • Live Polls – It’s not just the audience that needs the interactions, your speakers need it too. Live polls allow them to get feedback during their event on the topic they are discussing.
  • Spot Prizes – Everyone likes to get something for free, so reward your most active delegates, the best question, etc with either an online voucher or something delivered to their home.

Prepare your attendees in advance of the virtual event taking place.

Ensure they know exactly how to navigate the virtual platform.

  • Send out a ‘Pre-event’ email with joining instructions and a virtual itinerary, this can help magnify engagement from the start.
  • Have a ‘go-to’ point available within the platform during the event, such as a dedicated help desk where team members are available to assist with any issues that might arise during the event, exactly like having a registration desk onsite.
  • Never assume that all attendees will be ‘tech-savvy’ so make break instructions down and make it as user friendly as possible.
  • It is also vital to dedicate time for rehearsals, to ensure all key speakers know their cue for appearing on screen, particularly when sessions are live and of course that everyone is comfortable using any equipment if recording or broadcasting content from their own home.
  • Follow up with your attendee’s post-event, having a survey prepared and encouraging attendees to complete this survey before they log off the virtual platform is a great way for collecting feedback, ensuring, you as the planner can learn moving forward, knowing exactly how to make your next virtual event even bigger and better!

Virtual meetings and events are now an essential part of business. If you don’t move forward with this ‘new norm’, you may just get left behind. People still need to meet, explore, learn and enjoy the company of others. By going online, you open up your events to a global audience. Whether it’s searching for a short-term solution or a longer-term strategy, there is a wealth of resources and options available to go virtual, so the question is, are you ready??
