Kick-off meetings are a great way of energizing your team for the coming year and what better way to do that than a sun break! This global consulting firm required a large space to accommodate 750 guests and this five-star beachside resort ticked all the boxes of the client’s requirements. The three-day event included team building activities, discos and a Gala dinner.
The Venue
The Forte Village Resort was chosen as it can facilitate multiple types of activities on site. The resort boasts a private club, a beach, a race track, football pitches, ample meeting spaces and a great poolside restaurant that can cater for up to 900. It is an ideal space for company’s who want to reduce the number of transfers required and create a memorable event for their delegates.
Challenges and Solutions
Our venue sourcing executives were challenged with finding a five-star venue, with space to accommodate such a large group, while also having great facilities and breathtaking views of the sea. The Forte Village Resort is perfect for holding onsite activities, meetings and group dinners. It was also a challenge for our event managers to come up with an inclusive, fun team building activity for a large group of 750 people. The solution was a ‘build a boat race’ on the resort’s private beach. Each group split into teams, built their cardboard boats and then competed by racing their creations in the ocean!
Highlights
The nautical theme continued into the evening with a poolside Gala dinner. The evening concluded with an onsite disco with world famous DJs that were flown in specially for the event.
This event brought together 124 internal sales professionals in the Asia Pacific region. The meeting took place over 3 days, allowing for cross-department networking events, idea exchanges, industry conferences, team building and plenty of entertainment. The modern Malaysian capital city offered an exciting travel experience for delegates.
The Venue
With floor-to-ceiling windows, 10 restaurants and spacious event space, The Hilton Sentral offered the perfect setting for this sales meeting. In the heart of vibrant Kuala Lumpur. The Hilton Sentral Hotel is located next to KL Train station and offers an express non-stop train directly to and from the airport which meant no transfers were required.
Challenges and Solutions
As with many international events, different time zones can pose a challenge to event organisers. Kuala Lumpur is 8 hours ahead of Ireland and our venuesworld.com event managers were challenged with organizing the event during Kuala Lumpur’s business hours. Excellent communication between our team in Dublin and the hotel and suppliers in Kuala Lumpur ensured the event ran smoothly.
This event also ran week after Chinese New Year when Kuala Lumpur shuts down to celebrate the holiday. Our event managers were highly organised and ensured event details were confirmed well in advance of this week. The Hilton Sentral team were excellent for our event managers to work with, they ensured each aspect of the event ran smoothly.

Our clients used their Asia Pacific sales meeting as an opportunity to hold a team building activity. Laerdal choose ‘The Big Picture’ were delegates are broken in to teams and given canvases and a segment of a picture, the team must are tasked with painting their segment of the picture. The image is then brought together for reveal ‘the bigger picture’.
The hotel’s meeting rooms were large and spacious which was a big plus. They have a ‘solutions bar’ in which delegates walk around and view exhibition stands and this needed a vast amount of space for this to work well. The event concluded with an Awards Dinner and videos from each team were shown on the big screen.

Thailand – Bangkok’s Amazing Race
Thailand is an amazing country, with a history stretching back longer than most western civilisations. The country offers some amazing venues with fantastic value to be had. One unusual team building activity you will find in Thailand is “Bangkok’s Amazing Race”. This scavenger hunt type activity starts with a warm-up game to determine the teams. Once the teams have been selected, they are briefed and given the necessary equipment.
To start each team is given either activities or tasks they must complete to find the next point on the trail. Teams compete against each other to reach the final destination in the quickest amount of time. The actvities and tasks vary between physical or funny tasks such as photo hunts, speed boats races, Thai dance or even Thai boxing.
This team-building activity is great for teams as it helps develop teamwork, communication and leadership skills along with planning and problem-solving techniques. Ireland – Flat Out Chariot Challenge
Ireland is amazing for outdoor team-building adventure activities, but sometimes weather may not permit. This is one of our favourite team-building activities to inspire innovation and creativity in a team. This racy team-building challenge draws nearly a cinematic response from teams as the race to create, build and the race chariots made entirely from cardboard and cable ties.
Using costumes inspired by the Romans and actors to excite and motitvate teams, all participants have to use excellent planning, organisation, communication and creativty skills as they race to complete their chariots against the clock. Each chariot is then styled and decorated by each team to highlight important team and company messages. In a exhilarating gladiator themed parade, all the teams face off against each other and race their chariots to be declared winner. This can be an amazing conclusion to any corporate event.

Singapore – The Dragon Boat Challenge
A Dragon boat is a human-powered boat that are traditionally made of teak wood. The boats come in various designs and sizes, but are commonly recognised by the iconic dragons head at the prow of the boat. These iconic boats date back to the third century B.C in China. Singapore is a melting pot of cultures, and many people in Sinagpore are descended from Chinese immigrants. This tradition has been adopted in Singapore and dragon boat races are traditionally held as part of the annual Duanwu Festival.
Whether it is for a casual or corporate activity, the sport of dragon boating has always been synonymous to the lessons of teamwork and team building. Dragon boating is an activity that consists of a group of people with one single goal, working together selflessly to achieve a communal objective of reaching the finish line. With this experience participants get work together, develop relationships, take part in an ancient tradition and get to see Singapore from a unique perspective in Marina Bay.

This client wanted a teambuilding activity that would excite and inspire their employees. venuesworld.com created a teambuilding event across 6 locations (The Phoenix Park, Dun Laoghaire Pier, Glendalough Monastery, Russborough Demense, Kilruddery Gardens and Howth Village). Using a treasure hunt, props and finally, a videographer to capture it all, the different groups created a video with memories of their time Ireland to keep forever, along with forging lasting memories.
Company Awards Dinner with Holographic Projections
To close an amazing event, venuesworld.com pulled out the red carpet and delivered an amazing closing awards ceremony. Included in this were a red-carpet reception, traditional Irish musicians, dancers and even a holographic projection on stage.

The General Management Meeting is a key event in the annual venuesworld.com events calendar. With 250 delegates coming from across the globe, each year this event has grown to become one of our most highly anticipated events. Kuala Lumpur was chosen as the destination for the 2017 kick-off meeting. Kuala Lumpur is one of Southeast Asia’s most prominent, modern and sophisticated cities, with visitors from around the globe.
The Venue
The Mandarin Oriental Kuala Lumpur is located in one of Kuala Lumpur’s most beautiful locations. In the shadow of the world-famous Petronas Towers, overlooking the stunning KLCC Park, the Mandarin Oriental Kuala Lumpur was the perfect venue to host this conference. The hotel has 632 bedrooms and conference and meeting facilities that can cater for small intimate events to conferences of up to 3,000 people.
Challenges and Solutions
Logistically this was a complex event:
Transfers and logistics were a key challenge for this event. Airport transfers for all of the delegates had to be organised. With delegates attending from around the world, this was quite challenging to coordinate. Once the main conference had finished, 250 delegates had to be transferred to the off-site venue for the closing gala dinner. With prior planning and a transfer plan, all the complexity was simplified.

Immersive branding of the Mandarin Oriental
To make the kick-off meeting instantly recognisable from the moment that delegates arrived at the hotel, venuesworld.com developed a branding strategy to make sure the clients brand was at the forefront of every experience. No matter the activity, delegates were surrounded by the client’s brand. This included a branded entrance to the hotel, a branded registration area and even branded headrests on the transfer coaches.
Closing Gala Dinner at Tamarind Springs
A closing Gala Dinner is a perfect way to finish any conference. For this event, Tamarind Springs was chosen as the ideal location for this final part of the event. The restaurant provided a visual and sensory feast to reward all the delegates. They hosted their inaugural Asian Summit in the beautiful Island state of Singapore. venuesworld.com were tasked with managing the event from beginning to end, ensuring a memorable and technically innovative inaugural conference for 600 delegates.
The Marina Bay Sands Hotel is located in one of Singapore’s most iconic buildings. The architectural wonder is in the heart of this thriving city, a fitting venue for this global conference. With 2,500 bedrooms and over 120,000 square metres of meeting space, the hotel is an ideal conference or meeting venue. The hotel was perfect as it could cater for huge gala dinners, right down to intimate private dining events.
Key Challenges
As with any international conference, this event was logistically complex. Delegates from across the US and Asia attended the conference. Singapore is a fantastic destination and the Marina Bay Sands Hotel is only 20 minutes from Changi Airport. The Airport is one of the best connected in the world, so this made organising travel for delegates a lot simpler as the Airport has direct connections to most of the worlds major airports.
Another challenge was the range of languages spoken by the delegates and cultures with various dietary requirements. The conference was streamed in 3 languages, with translation headsets available for all of the plenary sessions and breakouts. By working closely with the hotel and the delegates all dietary requirements were catered for.
Closing Gala Dinner
The event finished with a stunning gala dinner, and much like its European sister event, this innovative conference was set out to impress from start to finish. The lush gardens by the Bay set the ideal scene for the event. Guests had exclusive access to the flower dome with stunning views over both the bay and the garden. After the conference, a traditional lion dance introduced the audience to Singapore cultural entertainment, and the local band lead set the scene for the evening celebrations.

The Hotel Adlon Kempinski in Berlin was the venue for this year’s Public Policy Transatlantic Conference. The Hotel Adlon is one of Berlin’s most historic and luxurious hotels located next to the Brandenburg Gate. Built in 1907, Berlin’s history is inextricably linked the Hotel Adlon. The hotel has hosted everyone from Charlie Chaplin, to Roosevelt, to Barack Obama and even Michael Jackson. The 5-star venue offers a large conference and meeting space and can accommodate up to 500 people for an event. The hotel was an amazing venue and delivered 5-star service and food throughout the entire event.
There was 2 key challenges for this event:
In the shadow of recent terror attacks in various locations across the globe, security was of the highest importance for this event. As many of the attendees for this event were travelling from various locations across the United States, along with an American Congressional Group, venuesworld.com and our local team venuesgermany.com ensured that we had assessed all the possible risks, and included this in our robust security plan.
The other challenge encountered was with the historic educational tours that the local team in venuesgermany.com had organised across various locations in Berlin. Many of these sites only allowed small groups at a time and had strict time slots during which they could visit. Using their extensive experience working with groups such as these, along with a carefully planned transportation matrix, the team in venuesgermany.com could ensure these groups moved seamlessly across all 5 sites.
Pre-War Themed 1920’s Gala Dinner in the German Historical Museum
The Deutsches Historisches Museum is Germany’s national historical museum. The museum is housed in the Zeughaus (old Arsenal) that was built in 1695. It provided the perfect location for the closing Gala dinner. The museum sees itself as a place of “active communication and discussion”, so of course it was an amazing venue for a public policy organisation. It was the perfect location when combined with the lavish setting for the 1920s themed closing gala dinner.
Educational Tours of Berlin

The JW Marriott Marquis is one of Dubai’s most desirable destinations for both business and leisure travellers. This 5-star venue offers a large conference and meeting facility along with over 1,600 rooms. The hotel provided an amazing venue for this conference and had excellent service throughout the entire event.
There were 2 key challenges for this event:
Logistically this was a complex event with delegates travelling from over 86 countries across the world. With Dubai’s world-class international airport and with Emirates having the best reach globally this was not an issue. venuesworld.com arranged visas for all these delegates, then fast tracked each of them using the Marhaba Services in Dubai Airport.
Having experience working on previous events at this location, and also relying on the local experience of the venuesdubai.com team, the VenuesWorld event team were able to quickly resolve issues that arose with local suppliers not delivering as agreed. We leveraged existing relationships to fix these issues before they impacted on the event.
Experiential branding of the Burj Khalifa
at VenuesWorld we always try to deliver the most effective, innovative and engaging events so that your attendee has the most memorable and enjoyable experience. Using projectors, we were able to brand the base of the Burj Khalifa Tower and the Armani Hotel with our client’s branding. This experiential branding exercise was hugely successful and received fantastic feedback from attendees.
VIP Delegate Breakfast in Abu Dhabi
the VenuesWorld team also organized an exclusive breakfast for the VIP delegates in the Emirates Palace in Abu Dhabi. The VIPs were flown to Abu Dhabi from Dubai via a private helicopter. The thoughtfully-curated excursion was one of the most memorable parts of the event for these delegates’, allowing them to explore the UAE in a short space of time.

The venuesireland.com team managed the Smart Focus corporate sales event in
the beautiful Westbury Hotel in Dublin. The short lead event was originally planned for 30 people, however high demand resulted in an increase of attendees to 120 pax. These last minute criteria changes meant that the team had to work creatively in order to secure the space required for the event. Last minute negotiations with the venue ensured extended conference space, as well as taking an innovative approach to how the available space was used for the event. All guests where accommodated within the hotel, and offsite events and dinner galas were arranged to ensure all 120 guests were entertained and satisfied with their Dublin experience.
